SOUGHTON HALL WEDDING TERMS & CONDITIONS

1. A venue hire charge of £600 + VAT will apply for all weddings.

2. Should you wish to book a date for your function we will require a non-refundable, non-transferable booking deposit of £500 for a wedding in the Hall or £1000 for a wedding in our Marquee together with a signed copy of these terms and conditions.

3. In the unfortunate circumstances of you having to cancel or postpone your confirmed booking at any time prior to the event, Soughton Hall will make every effort to re-sell the facilities on your behalf. It is strongly recommended that you take out wedding insurance.

i) Any cancellation, postponement or partial cancellation should initially be verbally advised to a Soughton Hall staff member. All cancellations must be confirmed in writing and facilities cannot be released for re-sale until this is received. Written acknowledgement will then be sent by Soughton Hall. Definitive cancellation charges due can only be confirmed after the intended date of the event, when we may reduce the charge by any alternative business we have been able to secure on you behalf less the cost of having to secure it.

ii) In the event of Soughton Hall being unsuccessful in re-selling the cancelled or amended booking at the same value as your event, cancellation charges will be levied as follows:

Period of notice for Cancellation/partial cancellation/postponement:
12 to 18 months - 25% of signed contract value
6 to 12 months - 50% of signed contract value
6 months or less - 100% of signed contract value

Should you wish to make any significant changes to your event or the expected number of guests, Soughton Hall reserve the right to amend the rates and all facilities offered.

4. Weddings booked on a Friday, Saturday, Sunday or Bank Holiday Monday (except for those between January 1st and March 1st) must have a minimum of 80 adult guests for the wedding breakfast and all 15 bedrooms must be let. This guarantees you exclusive use of Soughton Hall. Any rooms not let on these days will be charged to the person(s) reserving the wedding. Special terms will apply to any wedding booked on New Year's Eve, Valentines, Christmas Eve or any other premium date. Please ask for details.

If you wish to have exclusive use of the hotel on any other day but do not wish to take all of the bedrooms, you must pay a fee equivalent to the sum of the tariffs of all the non-required bedrooms to guarantee this facility, otherwise we reserve the right to let non-required bedrooms to external guests.

5. There will be an additional charge of £250 for anyone wishing to hold a civil ceremony at Soughton Hall.

6. We require your choice of menu at least 6 weeks prior to the date of your function. All guests must select the same menu, but we can, with prior notice, cater separately for vegetarians or any special dietary requirements.

7. Entertainment fees: There will be charge of £75 + VAT for any pre-wedding breakfast group/ensemble and £150 + VAT per post wedding breakfast group/ensemble or disco.

8. You will be invited for your final wedding planning meeting approximately 6 weeks prior to your function date. At this meeting you should provide us with your final number of guests, menu choices (including any special dietary requirements) and drink requirements. The details you provide here are final and binding and we will draw up your invoice accordingly. This final invoice must be paid 21 days before the event. We reserve the right to cancel the function if full payment has not been received and funds cleared by the date of the function. Please note we do not accept credit card payments for weddings.

9. We have a professional florist within our team and we request that you use this facility to provide any floral arrangements that you require within the Hall. The use of external florists for Hall displays is not permitted, the only exception being wedding bouquets, buttonholes, etc.

10. There will be a table linen charge £100 + VAT. If your wedding is the in marquee there will be an additional charge. You have a choice of white, cream or ivory table linen and napkins or we are happy to discuss any other colours you may require

11. There is a £2000 + VAT charge for use of the marquee. You are free to hire additional toilet facilities if they are required. Should you require an outside bar for your marquee function there will a charge of £150.

Accommodation

12. Our rooms are of a very high standard and it takes time to keep them this way, therefore rooms are not available to check into until 2.30 p.m. Should they be required earlier, we will require at least 14 days written notice and there will be a £50 surcharge per room (the earliest time they will then be ready is 12.30 a.m.).

13. All wedding guests should note that the hotel bar closes at 12 midnight. For hotel residents the bar will reopen after outside guests have departed. NOTE: This will be the decision of the duty manager.

14. Should any of your accommodated guests default on payment for their room you will be financially liable for any shortfall. Should any damages occur at Soughton Hall property or grounds as a result of a wilful act or default of you, any service contractors you have arranged or your guests you will be liable for the cleaning, repair or replacement as appropriate of damaged items including compensation for loss of business while such damage is being repaired.

General

15. Please note that Soughton Hall is strictly non-smoking throughout. Smoking areas are provided.

16. Please refrain from throwing confetti within the front gardens of the hotel as it spoils their appearance for other guests. Outside the main gates is acceptable however.

17. Due to local environmental and planning restraints, firework displays are not allowed.

18. Any vehicles parked at Soughton Hall are done so entirely at the risk of the drivers

19. Given the unique historical architecture of Soughton Hall we would ask you to advise your guests to take extra care on paths and stairways and when moving around within the Hall.

20. The tariffs quoted are correct at the time of going to print but may be subject to alteration without prior notice. For any weddings held in 2009 onwards we reserve the right to pass on any cost increases or amend our terms and conditions as necessary and will notify you in writing of any such changes. We also reserve the right to change the prices of any of the hotel rooms at any point following their refurbishment, and again you will be notified of such works in writing.

21. Whilst Soughton Hall has taken all reasonable steps to ensure that the information contained in its brochure, tariffs leaflets and advertisements are accurate, it reserves the right to alter, substitute or withdraw and service, facility or amenity without notice if necessary at the time.

22. Soughton Hall shall be under no liability if they are unable to carry out provision of the contract for any reason beyond their control including (without limiting the foregoing) Act of God, legislation, war, fire, flood, drought, failure of power supply, lock out, strike, or other action taken by employees in contemplation of furtherance of a dispute or owing to any inability to procure materials required for the performance of the contract. In these circumstances, every effort will be made to accommodate the booking in another hotel of similar standard.

23. Whilst we encourage guests to visit the Stables for a drink prior to the wedding ceremony (i.e. whilst waiting for guests to assemble, or if you have arrived early before checking in) once the ceremony has taken place we respectfully request that wedding guests remain at the Hall and do not return to the stables. Such movement of guests not only spoils the atmosphere of the party, but also inconveniences our Stables staff who are usually very busy with their own customers. If you could possibly bring this to the attention of your guests we would be very grateful.

To be completed by the Bride & Groom/persons booking the wedding and returned to Soughton Hall along with the deposit cheque - YOUR BOOKING IS NOT CONFIRMED UNTIL WE HAVE RECEIVED BOTH THE CHEQUE AND THE SIGNED TERMS AND CONDITIONS
